Talking Stick's AI receptionist keeps its booking team focused on tee times

45,000+According to Salt River Connect: of more than 45,000 calls a year, only about 15,000 are tee-time bookings. After a few weeks: fewer unnecessary transfers, faster access to basic information, fewer calls outside the booking center's purpose and fewer avoidable interruptions for staff. No numeric results were published.

“Only about 15,000 of Talking Stick’s 45,000 annual calls resulted in tee-time bookings. The rest came from people asking about hours, pricing, dress code, directions, restaurant availability, golf instruction, practice facilities, weddings, banquets and other guest needs.”

Who
Talking Stick Golf Club, a 36-hole golf destination in the Scottsdale area, Arizona, designed by Bill Coore and Ben Crenshaw and owned and operated by the Salt River Pima-Maricopa Indian Community. AI receptionist MyCloud AI Receptionist, provided by Salt River Connect and enabled by Reinvent.
Problem
The club used a third-party answering service built to book tee times. Only about 15,000 of its 45,000 annual calls were bookings; the rest asked about hours, pricing, dress code, directions, the restaurant, lessons, weddings and banquets. Off site and without full visibility of the club, the service sometimes routed callers wrongly or sent them back to the course. CEO Roy Smith: "It was creating a very bad experience for our guests."
Agent
MyCloud AI Receptionist answers every incoming call first, asks how it can help and works out what the caller needs. It answers questions on restaurant hours, dress code, directions and policies from approved information on the club's website, and transfers tee-time requests to a concierge at the booking center. When it cannot help, it emails the caller's details and issue to the club's team for follow-up.

Try it yourself with MyCloud AI Receptionist

You help run a tennis, padel or golf club. Goal: an AI phone or chat front door that answers general questions and passes booking requests to my booking team, reviewed and approved by me before launch. My input: [our last 3 months of call or message topics, with rough counts], [opening hours, prices, dress code, directions, restaurant and event info from our website], [how bookings are made and who takes them], [who follows up on issues the AI cannot solve]. Give me: 1) call types ranked by volume, split into 'AI answers' and 'goes to a person'; 2) a short, warm answer for each AI-handled question, using only my info; 3) the transfer script for booking calls; 4) the follow-up email template for unresolved calls; 5) 10 test scenarios to run before going live. If unsure, send to a person.
What we can do for your club or brand

Tennis, padel and golf clubs all get the same calls about opening hours, prices and directions, and every one of them interrupts the person trying to take bookings. The Court can set up an AI front door on your phone line or chat that answers those questions from your own information, passes bookings and anything delicate to a named person on your team, and emails you what it could not answer, so your staff spend their time on members and bookings.

What they did

On Salt River Connect's recommendation, the club made MyCloud AI Receptionist the first voice callers hear, without replacing its reservation process. The team completed an onboarding survey, connected the AI to approved information from the club's website and tested it on real-world scenarios such as long pauses, muffled voices and common questions before fine-tuning and going live. Calls the AI cannot resolve generate an email so staff can follow up, and those gaps show where website content or AI training needs work.

How it went

After a few weeks, Salt River Connect reports a more direct path for callers: general questions answered upfront, tee-time requests still flowing to the booking center, fewer unnecessary transfers, fewer calls outside the call center's core purpose and fewer avoidable interruptions for the club's team, with a reliable way to capture issues that need personal follow-up. Roy Smith: "The call center was there for one reason, and that's to book tee times." He calls the AI "a very useful tool to help distribute phone calls to the right person." Limits: vendor case studies (Salt River Connect and Reinvent); no hard result numbers published, only the call split and qualitative feedback after a few weeks.
